Privacy Policy

Your information matters. Here’s how we use it when you get in touch and use our website.

Who we are

Business Volunteers helps businesses arrange volunteering days with charities and community organisations. This policy explains how we handle personal information when you use this website or contact us about a volunteering day.

For privacy questions or to exercise your rights, email info@businessvolunteers.co.uk or call 0203 816 0292.

Information we collect

When you enquire, you provide your name, company, email address and, optionally, telephone number. Our enquiry form also asks for your preferred location, team size, timing and activity preferences. We receive any further information you choose to share in correspondence.

Website services may process technical information such as your IP address, browser and device details, requested pages, access times and security or error logs. See our Cookie Policy for information about cookies and related technologies.

Please do not send sensitive information about individual volunteers through the initial enquiry form. If a project needs accessibility or other personal arrangements, we can discuss how to provide the relevant details appropriately.

How and why we use it

We use enquiry information to respond, suggest suitable opportunities and discuss or arrange your volunteering day. Where you are entering a contract with us, this supports the steps you request before a contract and its performance. For business contacts acting for an organisation, our basis is our legitimate interest in responding to enquiries and coordinating projects.

Our legitimate interests also include maintaining useful business correspondence, operating and protecting the website, and resolving queries. We use information where necessary to meet legal obligations. Where we rely on consent for a particular optional use, we will explain that use when asking for consent.

Contact details requested on the enquiry form help us reply. You can contact us by email or phone instead; without sufficient contact or project information, we may not be able to respond or find suitable options.

Sharing and website services

Relevant information may be handled by providers supporting our website hosting, email, technical maintenance and enquiry management. The website uses WordPress and Elementor. Project coordination may involve sharing the necessary contact and project details with the charity or community partner involved.

We may also disclose information where required by law or necessary to establish, exercise or defend legal claims. External links, including LinkedIn, lead to services with their own privacy policies.

The site hosts its fonts locally. When you open our brochure viewer, its PDF display software is loaded from the jsDelivr content delivery network, which receives technical connection information such as your IP address. Service providers may process information outside the UK. Where an international transfer requires safeguards, appropriate transfer arrangements must apply. Contact us for information about the providers and safeguards relevant to your enquiry.

How long information is kept

We retain information for as long as needed for the purpose it was collected. For enquiries and project correspondence, this depends on whether discussions are ongoing, whether a volunteering day is arranged, and any record-keeping or legal requirements. Security and diagnostic records are kept for the period needed to investigate issues and protect the website.

We review the continuing need for information and delete or anonymise it when it is no longer required. You can ask us about the retention criteria applying to your information.

Your choices and rights

Depending on the circumstances, you may ask to access, correct or erase your personal information, restrict its use, or receive a portable copy. Where processing is based on consent, you may withdraw that consent without affecting earlier lawful processing.

You have the right to object to processing based on legitimate interests. Contact us using the details above. We may need to confirm your identity before dealing with a request.

If you are concerned about how we handle your information, please contact us so we can investigate. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.
